Privacy policy
Last updated October 4, 2026. Written in plain language on purpose - if anything here is unclear, ask us.
The short version
CastCall stores the information theatre companies need to run their productions - and nothing else. We don't run ads, we don't use tracking or analytics scripts, and we never sell or share your information for marketing. Performer information (including children's) is visible only to the family that added it and the staff of companies that performer auditions for.
What we collect
Account information: your name, email address, and optionally a phone number, provided when you sign up.
Performer profiles: names you add to your account - your children's or your own - plus anything optional you choose to add: a birth date, the performer's own email address and phone number, medical information (such as allergies or medication), and other notes. All of it is optional, and you choose what to include. Medical information is shown to the staff of companies that performer auditions for or is cast with, so they can keep them safe at rehearsals - it is never shown to other families or other companies. If you give the performer's own email address, CastCall emails them alongside you.
Production records: audition sign-ups, cast assignments, schedules, and attendance records created as part of participating in a show.
Staff audition notes: companies may record private casting notes about an audition. These are visible only to that company's staff - never to families, and never to other companies.
What we don't collect: payment information (CastCall doesn't process payments), advertising identifiers, or third-party analytics. The only cookies we use keep you signed in.
Who can see what
Access follows how theatre actually works, and it's enforced in our database, not just in the interface:
- Families see their own performers, their performers' roles and schedules, and announcements for their shows.
- Company staff see the performers and family contact details of people who signed up for that company's auditions or shows - not families from other companies.
- Cast lists are visible only to signed-in participants of that show once the company publishes them. They are not public web pages.
- Public pages (a company's shows and audition times) contain no personal information.
Where your data lives
CastCall runs on established infrastructure providers who process data on our behalf: Supabase (database and sign-in, hosted on Amazon Web Services), Vercel (application hosting), Resend (email delivery), and Cloudflare (domain services). Data may be stored on servers in the United States. These providers store and transmit data on our behalf and don't use it for their own purposes.
We send two kinds of email: essential notices (a casting offer for your performer, being added to a company's team) and informational updates (announcements, schedule changes, the weekly digest, cast-list posts). You can turn informational email off any time in Settings, and every email includes a link there.
Your rights
You can see and edit your account and performer information any time by logging in. You can delete a performer profile yourself (this also removes their sign-ups, assignments, and attendance records). To delete your entire account and its data, or to request a copy of the personal information we hold about you, contact us and we'll act on it promptly. These rights come from Canada's federal privacy law (PIPEDA), and we honour them for everyone.
Retention
Production records are kept while a company uses CastCall so past seasons stay available to that company. If you delete a performer or your account, the associated personal information is removed from the live database immediately and from routine, encrypted backups on their normal rotation.
